What is the best way to sell a new client? To answer their calls of course! If you have your voicemail on all day, you are missing out on a huge opportunity for new business! When people hear a voicemail, they are likely to hang up and call your competitor! But, if turning on your voicemail in unavoidable, you need to make sure you are using it effectively.

Making your voicemail work for you

The first contact between a new client and a Physical Therapist is very important. If you are unavailable to take the call, your voicemail message must entice them to leave a message, and not to call one of your competitors.

Physio123 has found that most successful Physical Therapy businesses answer the phone, and you should try your best to do the same.

If you can't though, keep these tips in mind when recording your message:
  • Don't ramble on! Your message should be about 20-30 seconds long. If it is any longer, your clients will probably hang up.
  • Ask the caller to state the best time for you to call them back
  • Rehearse what you are going to say. Make sure you speak clearly and at a speed your clients can understand. If your English is not that good, you can always find someone that doesn't have an accent to record your message for you.
  • Review your completed message to make sure it is high quality and professional sounding. Make sure there is no background noise or other distracting noises in your message.
In your voicemail message, always include:
  • The name of your practice and your name
  • When you will return their cal
  • The confidentiality of your contact
  • Your cell phone number (optional)
